The Executive Partner to the Chief Executive Officer serves as a trusted partner, time manager, and strategic enabler to the CEO. This role is responsible for protecting and optimizing the CEO’s time, ensuring effective communication and follow-through, and supporting high-impact decision-making across the organization. The Executive Partner operates with a deep understanding of the business, exercising exceptional judgment, and maintaining the highest level of confidentiality. This role requires executive presence, strategic thinking, and the ability to operate independently in a fast-paced, complex environment.
ACCOUNTABILITIES
Time Strategist and Calendar Gatekeeper

Manage CEO’s calendar end-to-end, ensuring time is allocated to highest-value priorities.

Exercise sound judgment to determine CEO’s direct involvement versus task delegation.

Diplomatically prioritizes CEO calendar when competing priorities arise.

Structure meetings with clarity; ensuring agendas are purpose-driven, and decision-oriented.

Protect dedicated focus time for strategy, planning, and key relationships.
Strategic Business Partner

Function as strategic partner developing strong comprehension of company priorities, organization dynamics, and key stakeholders.

Proactively resolve calendar and business conflicts, risks, and inefficiencies.

Support preparation for key meetings by clarifying participants, context, and implications.

Track CEO commitments to ensure follow-through and accountability.
Communications and Message Management

Support and amplify CEO’s voice by drafting, editing, and coordinating executive-level communications, including emails, external messages, and announcements.

Manage task and information triage, ensuring the CEO receives the right information at the right time in a clear and organized manner.

Ensure communication consistency in tone, accuracy, and clarity coordinating with internal communications and public relations partners as needed.
Cross-Functional Coordination and Project Ownership

Interface with executive team, senior leaders, and key partners across the organization. • Ensure action items and follow-ups from executive meetings are completed.

Support forward movement of initiatives when CEO is involved.

Independently manage enterprise projects, such as cross-functional committees, and work to resolve timing conflicts between teams to maintain momentum and alignment.
Travel and Logistics Management

Plan and manage CEO’s travel and logistics balancing efficiency, effectiveness, and well-being.

Develop detailed itineraries with context for meetings, optimize schedules to minimize stress, build in recovery time, and anticipate contingencies.

Manage CEO flex time considerations related to travel.

Manage & maintain CEO’s expense reports.
Board Support

Play critical role in supporting Board of Directors interactions.

Coordinate Board of Directors meetings, prepare, coordinate, and distribute materials.

Manage Board of Directors meeting logistics, track requests, and action follow-up.

EDUCATION & REQUIREMENTS

Bachelor’s Degree in business or related field

10+ years of demonstrated experience supporting a CEO or senior executive in a complex organization as an Executive Assistant, Project Manager, or in a hybrid executive support capacity.

Strong business acumen with ability to understand organizational strategy, priorities, and dynamics .

LOCATION
This role is located in Portland, Oregon and requires 5 days a week in office working side by side with the CEO and executive team.
